A general contractor had ChatGPT write a script that pulls subcontractor invoices from his email, matches each to a job and files it in the right folder.
Who did it
Try it now
- List your active jobs and their folder names
- Ask ChatGPT to write a script that collects invoice emails
- Have it read each invoice and match it to a job
- Test it on a week of old invoices before going live
- Check what it filed every week
I'm a general contractor with about 30 active jobs. Subcontractors email me invoices as PDFs every day. I keep one Google Drive folder per job, named by street address. Write me a simple Google Apps Script, with step-by-step setup instructions for a non-programmer, that: (1) finds new Gmail messages with PDF invoices attached; (2) reads the job address or project name from each invoice; (3) matches it to the right job folder; (4) saves the PDF there; (5) puts anything it can't match in a folder called 'Needs Review' and emails me a daily list of those. Explain how to run it on a schedule and how to test it safely first.

This story is published by OpenAI, the tool maker, and the time saving is the owner's own estimate. A script that touches your email needs testing on old messages first, and someone should still check what it files.
