self-reported100+ personalized follow-up emails went out from his work email in minutes, run from his phone. Replies came in the same day, one turned into a $2,000 sale, and a few more jobs started moving again.
Tyler Griffin owns Swift Pro, an HVAC and plumbing company. A few days into using Grok Bot, he had it work through customers with unsold estimates in ServiceTitan. For each one, the bot pulled the customer from the CRM, worked in details from their actual appointment and asked where things stood, then sent it from his own work email. It’s shoulder season, and he says the team is booking into next week.
Who did it
Try it now
- Connect your CRM or field service software (ServiceTitan, Housecall Pro, Jobber) and your work email to Grok Bot.
- Ask it to list every open or unsold estimate from the last 90 days, with the customer, the job, the tech and the visit date.
- Have it draft one short email per customer that mentions their actual visit and asks a simple question: still thinking it over, want to get on the schedule, or did something change?
- Read the first 5 drafts yourself. Fix the tone once and tell it to remember the fix, then let it send the rest from your email.
- Have it log every reply back in the CRM and hand you a daily list of hot replies to call.
You are my follow-up assistant for [company], a [HVAC / plumbing / roofing] company. Pull every unsold estimate from [CRM] from the last [90] days. For each customer, write a short, friendly email from me ([name]) that mentions the visit date, the tech’s name and what we quoted, and asks where things stand. No pressure, no discounts unless I say so, under 90 words, in my voice. Show me the first 5 drafts before sending anything. After I approve, send the rest from my work email, log each send in the CRM, and give me a daily list of replies that sound ready to book.
Make it run every week
A play works once. Turn it into a routine in three small steps:
- Run it once and check the result yourself.
- Give your AI a schedule. Tell it when to run this play (every week, or every month) and to message you with what it found before you act.
- Keep a log. One line per run: what was checked, anything flagged, what you did.
What to watch out for
Self-reported from one post, a few days in. Check the first drafts so no one gets a wrong price or a repair they already paid for, and keep the volume reasonable so your email doesn’t get flagged as spam. Build it with Page: a simple “book your repair” page to link in every follow-up. Safer version: read every draft, or approve the full batch list, before the bot sends anything from your email.
