Have a Grok Bot draft every email reply with your customer history already pulled

The owner of a business that makes over $1 million a year in profit with no staff says email used to take him a couple of hours a day. Now his Grok Bot drafts every reply and he’s done in 5 to 10 minutes, which he figures is more than a full working day back each week.

Dane Shelford runs a business that buys and sells physical products, with no staff and no office. Freelancers and a storage unit cover the rest. He connected Grok Bot to his old emails, customer records and accounting software, so when a customer asks about an order it already knows the history. It writes the reply in the same tone he uses with each person, but it can’t send anything on its own. He reads and hits send. It also sends his list of open orders, writes invoices when he makes a sale, and he built a one-page dashboard with Claude Code showing who owes him money, open orders and the bank balance. Setup took about 5 minutes. Getting it right took a few weeks of corrections.

Try it now

  1. Connect Grok Bot to your email, customer records and accounting software.
  2. Have it draft replies only. Turn off any ability to send on its own.
  3. Ask it to check order status and invoice payments before drafting each reply.
  4. Each morning, read the drafts, fix the odd one and hit send. Correct it when it gets something wrong so it learns.
  5. Add a daily list of open orders and have it write invoices when you tell it you made a sale.
Copy-paste prompt
Each morning, go through my inbox at [email]. For every customer email, check their history in [CRM] and their invoices in [accounting software], then draft a reply in the same tone I’ve used with that person before. Answer only what they asked and don’t repeat their message back to them. Don’t send anything. Put the drafts in my drafts folder with a one-line note on what you looked up. Then send me a list of every open order and where it’s up to.

Make it run every week

A play works once. Turn it into a routine in three small steps:

  1. Run it once and check the result yourself.
  2. Give your AI a schedule. Tell it when to run this play (every week, or every month) and to message you with what it found before you act.
  3. Keep a log. One line per run: what was checked, anything flagged, what you did.

What to watch out for

Self-reported on his own channel. He set it up so it can’t send on its own, and that’s the part to copy. Expect a few weeks of corrections, since it can over-answer or do things you didn’t ask. Build it with Page: an order status page customers can check before they email.
