self-reportedIn 11 days (Oct 8 to 19), 13 bots running 46 routines filed 2,773 emails, deleted 892 junk emails, kept 59 active jobs on the bid board, routed 69 bid invites, processed 71 invoices, checked and applied 75 timesheet edits, and made 10 forms, 10 templates and 27 SOPs. She says every number comes from the bots' logs.
Monica Thomas is a business owner at M&M Interiors, a contractor that bids on jobs. In 11 days her Grok Bot team of 13 bots and 46 routines filed 2,773 emails, deleted 892 junk emails, kept a bid board of 59 active jobs, routed 69 bid invites, processed 71 invoices and checked 75 timesheet edits. Next is an estimator bot with read only access to 1,835 past bids, which has pulled 9,643 takeoff lines from 30 bids and run 3 test takeoffs against her estimators' work.
Who did it
Try it now
- Start with the inbox: have one bot file email into folders by job and delete obvious junk.
- Add a bid board: one bot logs every bid invite and routes it to the right person.
- Add back office jobs one at a time: invoices, then timesheet edits, each checked before it's applied.
- Have every bot keep a log, so you can count what it did each week.
- Only after that, test an estimator bot with read only access to past bids, against your estimators' work.
You run the inbox for my contracting company. Every hour, file new email into folders by job name, move bid invites to the bid board with the due date, and list anything that looks like junk for me to approve before you delete it. Keep a log of what you filed, routed and deleted, and send me the counts every Friday.
Make it run every week
A play works once. Turn it into a routine in three small steps:
- Run it once and check the result yourself.
- Give your AI a schedule. Tell it when to run this play (every week, or every month) and to message you with what it found before you act.
- Keep a log. One line per run: what was checked, anything flagged, what you did.
What to watch out for
Self-reported from her own post, with counts of work done but no hours or dollars. Start with read only access and approvals for anything that deletes email or changes invoices and payroll, and keep the estimator bot as a check, not the final number. Build it with Page: a simple bid request page that sends every invite to one place.
