Remembering every quote, invoice and promise handed to bots: evenings and weekends back for a family run, 3 employee electrical firm

self-reported

He no longer spends hours every day trying to remember promises made or quotes and invoices to be done. He gets at least 2 main summaries a day plus an 8pm shake down, and says: "I have my evenings and weekends back."

Stu Parkinson runs a family electrical contracting company in Wexford, Ireland, trading for 24 years with 3 employees. Over the summer he built a set of Grok Bot assistants, each focused on admin tasks he used to do himself, feeding back to one main ops agent, plus a company app. The ops agent sends him summaries during the day and an 8pm shake down of what's open. He says the time he spent building it is now being refunded.

Try it now

  1. Write down every promise, quote and invoice you're carrying in your head right now.
  2. Give one bot the job of logging each one from your texts, emails and notes.
  3. Have a main ops bot pull them together and send you a summary twice a day.
  4. Add an evening check that lists anything still open for tomorrow.
  5. Add one small admin bot at a time and let each report to the ops bot.
Copy-paste prompt
Every evening at 8, go through today's emails and texts and list every quote I promised, every invoice I need to send and anything I told a customer I'd do. Put the oldest ones first and draft the quotes and invoices for me to check.

Make it run every week

A play works once. Turn it into a routine in three small steps:

  1. Run it once and check the result yourself.
  2. Give your AI a schedule. Tell it when to run this play (every week, or every month) and to message you with what it found before you act.
  3. Keep a log. One line per run: what was checked, anything flagged, what you did.

What to watch out for

Self-reported, and he doesn't give an exact hour count. The evenings line, the 3 employees and the daily summaries come from his own replies in the same thread: https://x.com/real_parkinson/status/2112677467475390766. Check every quote and invoice before it goes to a customer. Safer version: let the bots draft and remind, and you send. Build it with Page: a simple quote request page so new jobs land in one place instead of your head.
