Have a Grok Bot reconcile your books against Stripe to catch missing fees

Picked and checked by Olga Pearson, host of The Practical AI Show · Published

Result

self-reported

His Grok Bot fully automated his bookkeeping and found him about £1,800 in one day: some Stripe fees had never been imported, which made his profit look slightly higher than it was, and nobody had noticed.

Kieran Lewis is a former super-affiliate who runs ads and builds with AI. He handed his bookkeeping to his Grok Bot, and in one day it caught something nobody else had: some Stripe fees were never imported into his books, so his profit looked a bit higher than it really was. The bot found about £1,800 that way. He liked it enough to move his work over from the Hermes agent he had been using.

Try it now

  1. Export your Stripe balance report (payouts, fees, refunds) for the year.
  2. Export the same period from your bookkeeping tool.
  3. Have the bot match every payout and fee line and list anything missing from your books.
  4. Review the gaps with your accountant and post the corrections.
  5. Set a monthly routine so the check runs before you close each month.
Copy-paste prompt
Here are my Stripe balance reports and my bookkeeping export for [period]. Match every Stripe payout, fee, refund and dispute to an entry in my books. Give me a table of anything in Stripe that’s missing or different in my books, with dates and amounts, and the total effect on my profit. Don’t change anything in my books. After I approve, run this same check on the 3rd of every month and send me the gaps.

Make it run every week

A play works once. Turn it into a routine in three small steps:

  1. Run it once and check the result yourself.
  2. Give your AI a schedule. Tell it when to run this play (every week, or every month) and to message you with what it found before you act.
  3. Keep a log. One line per run: what was checked, anything flagged, what you did.

What to watch out for

Self-reported from his own post. Have your accountant approve any corrections, especially across tax periods. Give the bot read-only access where you can. Build it with Page: a simple client portal page that links to your invoices.
