Have a Grok Bot build your weekly direct mail list of rental owners from public records

self-reported

His Grok Bot replaced the mailing list company they paid, saving $1,000 a year, and the lists are more than double the length. Every Monday it sends 20 owners to mail, each with a branded rent analysis and a letter ready to sign. Early conversion looks like about 3%.

Chris Twiggs runs Blair Allen Property Management. His Grok Bot pulls rental addresses from county parcel codes for multifamily and by watching Zillow, Trulia and competitor sites for single-family rentals. It sorts owners by unit count (single, 2-4, 5-20, 20-100, 100+) and filters out owner-operators who would never hire them. Every Monday it emails 20 owners to mail, with a branded rental price analysis, a review of how the rental is marketed now (where it’s posted, photo and copy quality, views, days on market) and a personal letter. He signs each letter in blue ink, the envelope is hand-addressed, and owners with more than 20 doors get FedEx. The bot tracks every mailing in a spreadsheet and sends a follow-up letter 3 months later. It also adds birthday and holiday cards for clients, tenants, team families and vendors.

Try it now

  1. Have Grok Bot pull rental owners from public records: county parcel codes for multifamily, rental listing sites for single-family.
  2. Have it sort owners by unit count and remove owner-operators and anyone who would never hire you.
  3. Every Monday, have it email you 20 owners with a branded rent analysis and a short review of how their rental is marketed now.
  4. Have it draft a personal letter for each. Sign by hand, hand-address the envelope, and use FedEx for the biggest owners.
  5. Tell the bot when they’re mailed so it logs them in a spreadsheet and queues a follow-up letter in 3 months.
Copy-paste prompt
Every Monday, build me a mailing list of 20 rental property owners in [city/county]. Use public records only: county parcel data for multifamily, and current rental listings on Zillow, Trulia and competitor sites for single-family. Sort by unit count (1, 2-4, 5-20, 20-100, 100+). Skip owners who manage their own portfolio. For each owner, include: mailing address, properties and units, a one-page rent analysis branded to [company], a short review of their current listing (where it’s posted, photo and copy quality, days on market), and a personal letter in my voice ready for my signature. Log everything in [spreadsheet] and remind me to send a follow-up 3 months after each mailing.

Make it run every week

A play works once. Turn it into a routine in three small steps:

  1. Run it once and check the result yourself.
  2. Give your AI a schedule. Tell it when to run this play (every week, or every month) and to message you with what it found before you act.
  3. Keep a log. One line per run: what was checked, anything flagged, what you did.

What to watch out for

Self-reported from his own posts; the $1,000 a year saved is from his Oct 21 post (https://x.com/ChrisTwiggsPM/status/2113044148278214731). He’s early, and 3% is his rough estimate. Use public records only and check your state’s rules for marketing to owners. Build it with Page: a landing page for the QR code on the letter.
