self-reportedSaving $1,500 a month on bookkeeper costs. The bot caught up 8 months of books, reconciled them to the penny and found about $28k in errors. A month of bookkeeping now takes about a fifth of the effort.
Anthony Battaglia owns two restaurants, Suite 200 Grille and Whiskey & Water. He runs a Grok Bot team: a chief of staff plus assistants for reservations, outreach, purchasing, bookkeeping, finance, operations and content. On a day he spent covering shifts on the floor, the team booked a party of 10, fixed the online booking rules mid-service and kept his books moving. At first he approved everything. Now his rules are standing orders, and he only sees the real decisions.
Who did it
Try it now
- Pick the oldest month you’re behind on and export the bank and card statements, POS sales reports and vendor invoices for it.
- Give one Grok Bot only that job: categorize every line, reconcile to the statement balance to the penny, and list anything that doesn’t match.
- Review its list of errors and questions, and answer each one once. Then tell it to save your answer as a standing rule, so it doesn’t ask again next month.
- When one month comes out clean, have it work forward a month at a time until you’re caught up, and keep your accountant on taxes and filings.
You are the bookkeeper for my restaurant [name]. Here are [month]’s bank and card statements, POS sales reports and vendor invoices: [files / folder]. Categorize every transaction using my chart of accounts [paste or link]. Reconcile each account to the statement balance to the penny. Give me: (1) a list of anything that doesn’t match, with amount, date and your best guess why; (2) duplicate or missing vendor invoices; (3) questions only I can answer. Don’t post anything to [QuickBooks / Xero] until I approve the list. After I answer, save my answers as rules for next month.
Make it run every week
A play works once. Turn it into a routine in three small steps:
- Run it once and check the result yourself.
- Give your AI a schedule. Tell it when to run this play (every week, or every month) and to message you with what it found before you act.
- Keep a log. One line per run: what was checked, anything flagged, what you did.
What to watch out for
Self-reported in one post, with no breakdown of the $28k in errors. Check each correction yourself before it hits your real books, and keep a CPA on taxes and payroll filings. Build it with Page: a private-events page so the money you save shows up as bookings.
