Have Claude check every visit’s notes against the invoice before the client leaves

The first version took about half a day to build. It reads 101,715 old notes from 19 years of records, and its notes-versus-invoice check “has caught real money more than once.” On its first real run, the chart summary found an ultrasound referral from months earlier that never happened.

Dr. Steve Pelton runs Hearthstone Animal Clinic, a one-doctor vet clinic in Cypress, Texas. When the clinic switched practice software, he asked Claude to help him read the old records and ended up building VetNexus on top of the new system. Every pet on today’s schedule gets a checklist that ticks itself off. Claude compares the notes to the invoice, so if the notes say two teeth were pulled and the invoice doesn’t, he knows before checkout.

Try it now

  1. Start with one problem that bugs you every day, like charges that get missed at checkout.
  2. Check whether your practice or job software has an open API. That’s what made his build possible.
  3. Describe the problem to Claude the way you’d tell a person, and build read-only first.
  4. Have it compare each visit’s notes to the invoice and list anything done but not billed, before the client leaves.
  5. If it ever writes to your main system, use a separate key, log every write and test on your own record first.
Copy-paste prompt
I run [clinic / shop] on [software], which has an API. Help me build a read-only daily checklist: for each appointment today, compare the notes to the invoice and flag anything in the notes (procedures, meds, labs, parts) that isn’t on the invoice, with the line from the notes. Don’t change anything in [software]. Show me how to run it each afternoon before checkout, and what to test first.

Make it run every week

A play works once. Turn it into a routine in three small steps:

  1. Run it once and check the result yourself.
  2. Give your AI a schedule. Tell it when to run this play (every week, or every month) and to message you with what it found before you act.
  3. Keep a log. One line per run: what was checked, anything flagged, what you did.

What to watch out for

Self-reported, with no dollar figure on the missed charges. His guard rails matter: separate read and write keys, every write logged, no blind retries and testing on his own dog’s record. It doesn’t diagnose; he makes every call. Build it with Page: a client education page like his itchydog.vet.
