Messy QuickBooks fixed in 2 weeks instead of paying $14,000 to $21,000 for a forensic bookkeeper

    self-reported

Three forensic bookkeepers quoted $14,000 to $21,000 to fix his QuickBooks records. With the Grok Bot Pro plan, his QuickBooks was fixed within 2 weeks, and his company is now in SBA loan underwriting.

Paul Reardon needed clean QuickBooks records to apply for an SBA loan. Years of different bookkeepers (including QuickBooks' own service) had left the records so messy that he needed a forensic bookkeeper. He got 3 proposals from $14,000 to $21,000. Instead he tried Grok Bot on the Pro plan. Within 2 weeks the books were fixed, and his company is now in SBA underwriting. He says it also helped him expand his company's robotics services division.

Set up a Grok Bot bookkeeper that closes your books and watches tax deadlines

    self-reported

Found $1,100 in forgotten bills in 5 minutes; he says it saves him thousands a month after replacing his bookkeeper and CPA.

Dontoh, whose bio says only "God, family, business," built a Grok Bot he calls Iris to take over the bookkeeping and tax watching. Every month it closes his books, looks for legitimate write-offs and keeps track of IRS and state deadlines. It found $1,100 in bills he had forgotten about, in about 5 minutes.

Let a Grok Bot shop your rental insurance, prep your books and pre-screen tenants

    self-reported

In one week his Grok Bot saved $3,500 a year on property insurance across his rental portfolio, with more coverage. It also categorized every business transaction year to date for his accountant, and for a rental listing it talked with 34 prospective tenants, summarized their pre-screening answers in a Google Sheet and scheduled 8 tours.

Alex Porrett is a real estate investor with a rental portfolio. In one busy week his Grok Bot did three jobs in the background. It saved him $3,500 a year on property insurance across his rentals, with more coverage than before. It sorted every business transaction for the year so his accountant had clean books. And when he listed a rental, it handled the inquiries: it got 34 prospective tenants to fill out pre-screening, put the answers in a Google Sheet, booked 8 tours and texted his current tenants from a Google Voice number to find times that worked for them.

Have a Grok Bot reconcile your books against Stripe to catch missing fees

    self-reported

His Grok Bot fully automated his bookkeeping and found him about £1,800 in one day: some Stripe fees had never been imported, which made his profit look slightly higher than it was, and nobody had noticed.

Kieran Lewis is a former super-affiliate who runs ads and builds with AI. He handed his bookkeeping to his Grok Bot, and in one day it caught something nobody else had: some Stripe fees were never imported into his books, so his profit looked a bit higher than it really was. The bot found about £1,800 that way. He liked it enough to move his work over from the Hermes agent he had been using.

Let a Grok Bot run payroll adjustments from your sub tracker into QuickBooks

    self-reported

Payroll used to take him 30 minutes to an hour depending on adjustments. On day 7 with Grok Bot it took about 10 minutes.

Mike O’Nan leads a PreK-12 hybrid school. Payroll each period meant pulling the substitute teacher tracker, cutting sick hours and crediting the teachers who covered. Now one Grok Bot agent does that from the tracker. Another applies tuition credits in the student system for parents who subbed. Both are wired into QuickBooks and his model vs actuals program, so the books and forecast stay current.

Connect a Grok Bot to Xero so invoices take seconds, not your evening

    self-reported

After adding a £5 a month connector to Xero, his Grok Bot generates his invoices in seconds and understands his business’s financial health. He no longer relies on himself or his VA for invoicing.

enrico runs a business and had just worked a 12-hour day with no more than an hour's break. Invoicing and keeping on top of the numbers fell to him or his virtual assistant. He bought a £5 a month connector that links Grok Bot to his Xero accounting software. Now the bot creates invoices in seconds and can answer questions about where the business stands, so he’s always on top of it.

Catch up months of restaurant books with a Grok Bot and cut bookkeeper costs

    self-reported

Saving $1,500 a month on bookkeeper costs. The bot caught up 8 months of books, reconciled them to the penny and found about $28k in errors. A month of bookkeeping now takes about a fifth of the effort.

Anthony Battaglia owns two restaurants, Suite 200 Grille and Whiskey & Water. He runs a Grok Bot team: a chief of staff plus assistants for reservations, outreach, purchasing, bookkeeping, finance, operations and content. On a day he spent covering shifts on the floor, the team booked a party of 10, fixed the online booking rules mid-service and kept his books moving. At first he approved everything. Now his rules are standing orders, and he only sees the real decisions.

Have an AI agent clean up your books in an afternoon, then approve every change

    self-reported

In one afternoon on his real company books, uncategorized operations went from 183 to 4. The agent pulled 22 missing invoices from Gmail and attached them, wrote about 60 changes, surfaced 3 overdue VAT returns, and, before a VAT refund claim, went through all 34 foreign software invoices and fixed every one booked wrong.

Tom Eberle ships apps from Paris. His French accounting software, Dougs, had no public API. So he had Claude Opus agents build an unofficial, open-source command-line tool for it (245 tests, about 30 hours from idea to npm). Then he let it work on his real books. Nothing reaches Dougs until he approves the plan. Months with a filed VAT return are never touched, and every write is read back and checked. It doesn’t file VAT or replace his accountant. It does the legwork.

Price your bookkeeping against a Grok Bot: $12k a year vs $5 in tokens

    self-reported

He dropped a CPA firm charging $12k a year for bookkeeping. Grok Bot closed out June through September down to the cent in a few hours, for $5 in tokens.

moe (@Farhatmoe) is an entrepreneur and inventor. A couple of months ago he fired the CPA firm that was charging him $12,000 a year for bookkeeping and handed the same work to Grok Bot. In a few hours it closed out four months, June to September, down to the cent, and the total cost was $5 in tokens. His point: productivity and savings look different once you actually measure them.

Let a Grok Bot chief of staff catch unbilled work and find local leads

    self-reported

In one stretch, his Grok Bot filed about 140 old receipts, found 33 new local business leads, caught client work he'd forgotten to invoice, and built 3 preview websites for prospects.

Matthew Marshall owns an IT services company (and a hot sauce brand). His Grok Bot "chief of staff" filed about 140 old receipts, found 33 local business leads and merged them into his pipeline, and drafted a full network install estimate. It also spotted client work he'd never billed, built preview websites for 3 prospects before he called them, sorted AI receptionist calls into the pipeline, and health-checked 25+ of his bots, retiring 2.

Hand your company taxes to a Grok Bot: 20+ hours down to under 2

    self-reported

Company taxes went from 20+ hours two years ago to under 2 hours: about 30 minutes of setup, then 30 to 45 minutes of the bot working, including 3,000 credit card and 1,000 bank entries categorized.

Rick Manelius set up one Grok Bot agent called “Company Taxes,” connected it to his company Google Drive, email, Xero and Slack, and gave it his Chase statement exports and the CPA’s questions. It sorted the entries, asked him a few categorization questions, built a full packet of answers and reports, and later pulled answers to the CPA’s two follow-ups from his 2021 and 2022 returns.

Don’t let an AI agent “fix your books” with write access on

    vendor-reported

In a test, told “fix my books,” an AI agent made 3 changes to a test QuickBooks company in 84 seconds without asking, including creating a new account. With write tools switched off, it made 0 changes and just described the fix.

Vadim Chumak, who builds an AI bookkeeping product, ran a test on a made-up candle company in QuickBooks. On default settings the agent created an account, edited it and moved a $312.40 duplicate charge into it in each of two runs, never waiting for a yes. Turning off write, update and delete tools left it read-only, and it explained the fix instead.
