Messy QuickBooks fixed in 2 weeks instead of paying $14,000 to $21,000 for a forensic bookkeeper

    self-reported

Three forensic bookkeepers quoted $14,000 to $21,000 to fix his QuickBooks records. With the Grok Bot Pro plan, his QuickBooks was fixed within 2 weeks, and his company is now in SBA loan underwriting.

Paul Reardon needed clean QuickBooks records to apply for an SBA loan. Years of different bookkeepers (including QuickBooks' own service) had left the records so messy that he needed a forensic bookkeeper. He got 3 proposals from $14,000 to $21,000. Instead he tried Grok Bot on the Pro plan. Within 2 weeks the books were fixed, and his company is now in SBA underwriting. He says it also helped him expand his company's robotics services division.

Email sorting, manual rewrites and quote drafts handed off to Grok Bot in 3 hours

    self-reported

3 hours after setting up, Grok Bot was sorting and summarizing email, drafting replies, rewriting product manuals, finding customers and drafting sales emails, drafting quotes for the team to approve and checking inventory against the build schedule. One technical setup took the bot 10 minutes versus about an hour for the team.

Poseidon Robotics makes remotely operated vehicles (ROVs) and subsea systems. Three hours after setup, the team had Grok Bot sorting email and drafting replies, rewriting product manuals and annotating photos, researching potential customers and drafting tailored sales emails, turning datasheets into brochures, and drafting quotes that the team approves and sends. Where a parts list is incomplete, it looks at product photos, asks the team to confirm what's missing, checks inventory and suggests order quantities against lead times. A simulation software setup took it 10 minutes after 5 minutes of questions, versus about an hour for the team.

Have a Grok Bot negotiate your credit card processing fees

    self-reported

About $5k a year saved on card processing for an auto repair shop that takes about $2M a year in cards. The markup over interchange went from 0.35% to 0.10%.

Franklynn Automotive is an auto repair shop that runs about $2M a year through card payments. Processing is the bill you set up once and never look at again. Dan Mallatt gave his Grok Bot 24 months of statements. Interchange isn’t negotiable, but the processor’s markup is, so the bot found what the shop was paying on top of interchange and built the case for a lower rate based on the shop’s higher volume. It drafted every email and the counteroffer, and Dan reviewed each one before it went out. The markup dropped from 0.35% to 0.10% over interchange. His last step: get the final pricing in writing.

Have a Grok Bot audit your property manager’s statements against your contract

    self-reported

$17,429.36 in property management overcharges found and wired back. The bot flagged a 32% fee within minutes, checked it against the 2019 contract (25%) and emailed the manager with his OK.

Ryan Debenham owns rental property run by a property manager, and he hadn’t found time to audit the property statements. He put his Grok Bot on the job. Within a couple of minutes it said a 32% management fee “seems a bit high for the market.” He remembered signing for 25% in 2019, so he had the bot review the contract. It found the rate had quietly changed without notice, calculated the overcharge and, with his permission, emailed the property manager. The money was wired back, and the bot now has a standing job to catch slips like this.

The owner of a business that makes over $1 million a year in profit with no staff says email used to take him a couple of hours a day. Now his Grok Bot drafts every reply and he’s done in 5 to 10 minutes, which he figures is more than a full working day back each week.

Dane Shelford runs a business that buys and sells physical products, with no staff and no office. Freelancers and a storage unit cover the rest. He connected Grok Bot to his old emails, customer records and accounting software, so when a customer asks about an order it already knows the history. It writes the reply in the same tone he uses with each person, but it can’t send anything on its own. He reads and hits send. It also sends his list of open orders, writes invoices when he makes a sale, and he built a one-page dashboard with Claude Code showing who owes him money, open orders and the bank balance. In 48 hours his Grok appointment setter reviewed 102 leads, contacted 58, and sent 67 messages, 25 of them with pictures. Grok costs him $30 a month. He works out that staffing 16 hours of daily follow up in Miami (two 8 hour shifts at $20 an hour) would cost $320 a day, or $9,600 a month, before payroll expenses.

Christian Bello is a roofing contractor in Miami. He was spending thousands on Meta ads while his employees forgot to follow up with leads. So he built an appointment setter with Grok. Every 5 minutes it checks his CRM for new leads, texts them in English or Spanish with real pictures of his company, crew, projects and TV interviews, checks his calendar and offers two real appointment times. If nobody answers, a 7 day follow up sequence runs. His SMS platform and integrations cost extra, and his people still handle the actual sales.

86 this: a bot hunting for customers on Facebook got the account suspended within hours

    self-reported

Asked to find potential customers on Facebook, the bot joined groups, sent friend requests and messaged people without permission. The Facebook account was suspended a few hours later.

Sami Daar connected a Grok Bot to a Facebook account with one job: find potential customers for the business. Instead of just researching leads, it joined Facebook groups, sent friend requests and messaged people, all without asking. A few hours later Facebook suspended the account. The lesson: a bot that can act on your accounts will act, so research jobs need read-only rules.

Hire a Grok Bot chief of staff that hands you daily revenue moves

    self-reported

In one week his Grok Bot built a 3-email nurture sequence (434 enrolled, about 20% average open, 2.6% click, 1 booked call), cut 9 X clips and 16 LinkedIn drafts from his raw footage, and drafted first-touch emails to new SoCal clinic openings, 2 of which he sent.

Justin French is a sales and marketing consultant who runs The Revenue Ronin. His Grok Bot, which he calls Ronin, works as his chief of staff. Every weekday at 7:30am it sends a revenue brief with 1 or 2 quick wins he can act on that day. At 8:00am it scans Southern California for new clinic openings and drafts first-touch emails. It also built a 3-email nurture sequence in his newsletter, cut short clips from his raw video, preps his calls, tracks follow-ups, handles reschedules and audited his subscriptions to cut tools he wasn’t using. Have a Grok Bot answer every web inquiry and brief you on the owner before you call

    self-reported

An owner who got his mailer filled out his contact form. His Grok Bot replied right away, looked up what she owns and briefed him before the call. She had a contract to sign 2 hours after she inquired, adding 6 new doors to manage. He says the bot has paid for itself several times over.

Chris Twiggs is President and Broker at Blair Allen Property Management in South Dakota, Montana and Arizona. His Grok Bot runs the whole path a lead takes. It helped send the mailer with a QR code to the website, filled out the Google Business Profile, and writes blog posts in his voice. When the contact form came into email, the bot thanked the owner right away and asked for a good time to call. It also drafted a text with the same message in case a call didn’t work. Then it looked up the owner, found what properties she holds, and wrote him a summary so he knew her portfolio before he spoke to her.

Have a Grok Bot build your weekly direct mail list of rental owners from public records

    self-reported

His Grok Bot replaced the mailing list company they paid, saving $1,000 a year, and the lists are more than double the length. Every Monday it sends 20 owners to mail, each with a branded rent analysis and a letter ready to sign. Early conversion looks like about 3%.

Chris Twiggs runs Blair Allen Property Management. His Grok Bot pulls rental addresses from county parcel codes for multifamily and by watching Zillow, Trulia and competitor sites for single-family rentals. It sorts owners by unit count (single, 2-4, 5-20, 20-100, 100+) and filters out owner-operators who would never hire them. Every Monday it emails 20 owners to mail, with a branded rental price analysis, a review of how the rental is marketed now (where it’s posted, photo and copy quality, views, days on market) and a personal letter. He signs each letter in blue ink, the envelope is hand-addressed, and owners with more than 20 doors get FedEx. The bot tracks every mailing in a spreadsheet and sends a follow-up letter 3 months later. It also adds birthday and holiday cards for clients, tenants, team families and vendors.

Have a Grok Bot build a custom demo overnight before your sales call

    self-reported

A free consult booked at 10pm for noon the next day. He told his Grok Bot "let it rip" and went to bed. By 7am it had built a demo using the prospect’s own videos, and he closed a $2,000 deal on the call. Compute was about $28, covered by plans he already pays for.

Mitchell Moses runs Operator Zero, which sets up AI systems for businesses. A prospect who edits his own short videos booked a free AI assessment and wrote on the form that his cuts left dead space. Mitchell’s main Grok Bot passed the job to a planner bot, which split it into tasks for coding agents on his existing plans. They pulled the prospect’s own shorts and re-cut them with his style. A separate reviewer agent on a different model checked the work and sent a failed test back for fixes. On the call he showed the before and after, and the prospect said it was urgent. In another case, a demo built in about 3 hours after a meeting with a government contractor got him a walkthrough with the client’s boss.

Have a Grok Bot find an underserved local service, buy the domain and build a lead site for $11

    self-reported

Filippo Salbini started his business, Salbini, in 2006 and runs the business and sales side. Quotes are slow work: pulling products, prices and terms together for each client. He had his Grok Bot build a couple of them. In his words, they "would have taken days to put together," and one was paid for the morning he posted. On the home side, his Haggle bot saved him 1,180 euros on gas and electricity by signing new contracts with a cheaper supplier.

Have a Grok Bot build the moving inventory from customer photos

    self-reported

A customer booked a whole move through the company’s Grok Bot, from quote to confirmed date, without a single phone call. The bot builds the full inventory list from photos or a video, and a person checks every line.

Next Gen Movers is a long-distance moving company, and they say most moving quotes go wrong before moving day because nobody really knows what’s being moved. Now customers send photos or a quick video, and their Grok Bot goes room by room and builds the full inventory list. A real person on the team checks every line and asks about anything unclear. They also ask for photos of closets, stairs and where the truck will park, because that’s where the extra hours come from. One customer booked the whole move through the bot, quote to confirmed date, with no phone call.

Have a Grok Bot turn your site walk into a priced bid and a proposal ready to send

    self-reported

A multifamily construction project manager says a $30 a month Grok Bot subscription cut his workload in half. Writing bids alone saved him hours per day of computer work, and nearly all his screen time is gone.

Travis Cardwell is a project manager in multifamily construction. When a request for proposal comes in, he tells Grok Bot to send the property and client to his Podio bot, which creates the project and issues a PO. He spins up a dedicated bot for the job, walks the site, and gives it details and photos. While he drives, it builds a cost breakdown: workers needed, timeframe, rental equipment, satellite images to plan access (boom, swing stage or scaffolding) and a material list, with pricing requests already emailed to vendors. When he approves, it types the proposal, saves the cost analysis for any other PM, updates the job tracker with the bid and budget, and drafts the client email with the attachments.

Have a Grok Bot review denied roof claims for a supplement before you walk away

    self-reported

A roofer’s Grok Bot supplementer helped turn a $1,200 repair job into a $31,800 full roof replacement, and a small repair under the deductible into a $13,000 replacement. He says he has 7 AI employees and pays $100 a month for Grok Bot.

Brett Patrick owns Happy Days Roofing & Construction and Good Boy Gutter Protection. He feeds his supplement bot jobs that insurance denied, partly approved, or approved as a full replacement, and it looks for where more can be claimed. He checks its work and gives it the right inputs. His other bots: an office admin that acts as chief of staff, a production manager that watches the job board, orders and job costing, a marketing rep that posts daily and answers leads in Facebook and Nextdoor groups, and a sales rep that follows up the pipeline and drafts estimates. When a job sells, the production bot sends a welcome email within an hour and the sales bot sets up postcards to the 25 homes around it. He also built his own CRM, replacing a platform that cost about $300 a month.

Let your team forward an RFP to a bot and get a draft quote back

    vendor-reported

A detailed estimate built from an RFP in about 30 seconds (per the workshop), work Kevin Luke says took a producer up to two hours, so his six producers spend more time with clients.

When new leads swamped his producers, Kevin Luke gave his chief-of-staff Grok Bot, “Lucy,” a company email address. Producers forward RFPs; Lucy builds the quote from the company’s real inventory (swapping in gear they own) and sends a PDF back for a person to adjust.

A Friday 3pm delivery routing mess fixed in about 20 minutes instead of a lost weekend

    self-reported

Delivery routing in his company's complicated ERP got mangled at 3pm on a Friday. Grok Bot researched the help pages, SOPs and routing spreadsheets, watched the routes every 5 minutes, and presented a repair plan. Working through it table by table, they fixed it in about 20 minutes instead of a miserable weekend.

He says Grok Bot "saved the day for my company". The company's ERP delivery routing got mangled on a Friday at 3pm. Claude was out of its depth, so he sent in a Grok Bot. It gathered what Claude knew, dug through the ERP help pages, his internal SOPs and routing spreadsheets, and watched the mangled routes every 5 minutes. When someone started making it worse, it messaged him and he told them to hold off. While he drove to his kid's school play, it worked out a repair plan. Back at his desk, they fixed it setting by setting in about 20 minutes.

Reviewing a 226-line customer report: two bots checked it and he made 4 decisions instead of losing a day

    self-reported

When he got pushback on a customer report, two bots went through all 226 lines, checked their work against a blind second review and showed him where they disagreed. He made 4 decisions instead of losing a day.

He runs his existing business and is building another through a team of about 15 Grok Bots, each with one job. When he got pushback on a customer report, his editor bot and reviewer bot went through all 226 lines, checked their work against a blind second review, and showed him the places they disagreed. He made 4 decisions instead of losing a day. His chief of staff bot also checks 32 official sources every weekday for changes that affect his company. His rule: anything that goes to another person is a draft, and he still hits send.

86 this: a safety check that warns but still passes

    self-reported

A late-package check passed while an order sat 27 hours with no proof it had shipped, because four orders were saved without a sale time. The bot’s nightly review caught it, and the rerun failed and named the late order.

Ryan Hanley runs a sports card business on the side with Grok Bot. One bot’s whole job is to flag late packages. But four orders had been saved without the time they sold, and a fix from the night before, meant to stop the check from crashing, turned that missing time into a warning. So the check warned and still passed, while an order sat 27 hours with no proof of shipping. His bot Carl caught it in a nightly review and changed the rule: if the sale time is missing, use the time the shipping label was printed. If there’s no time at all, the check fails. The rerun failed and named the late order.

Never keep your bot team’s only copy on the bot’s computer

    self-reported

A silent rollback of his shared Grok Bot computer wiped hours of files for 15+ bots in under a minute.

Eric Kang runs 15+ bots on one shared Grok Bot computer. When it was rolled back, their files went with it, and other users reported the same problem. His fix: back up every bot’s role, prompts, routines and working files to a private GitHub repo every night.

Morning business check-in cut from 45 minutes to 10 seconds with one Grok Bot

    self-reported

Typing "Good morning" to her lead Grok Bot brings back the whole business report: 24-hour social stats and scheduled promos, overnight runs and sales, email and Slack triage, audit bot notes and a live to-do list. 45 minutes down to 10 seconds.

Eve Doerr founded Lobster Nest, which sets up done-for-you Grok Bot teams and automations. Every morning she types "Good morning" to her lead Grok Bot, and it reports on the whole business in one message: social stats from the last 24 hours and scheduled promos, what ran overnight and sales, email and Slack sorted, notes from her audit bot, and a live to-do list. The check-in used to take her 45 minutes.

Use AI for pre-call research: 20 minutes of digging becomes 3

    self-reported

Pre-call research went from about 20 minutes to 3, and AI gets his first drafts of emails, outlines and proposals to about 70%.

Keegan Johnson is a founder who runs his business with Claude and Grok Bot. Before a client call or a big decision, AI pulls together the company, the market and what competitors are doing; 20 minutes of digging becomes 3, and he checks the sources. He also brain-dumps notes into a prioritized list, flags any task done 3 times for automation, uses AI for small scripts, and has it take emails and proposals from a blank page to 70%. His rule: AI does the first pass, he makes the call.
